How to Create a New Case for Origination

How to manually create an origination Case, from Case information through approving policies and converting to renewal.

This guide outlines the steps to manually create new pre-close and post-close cases for origination in the Advocate Platform.

It is helpful (but not mandatory) to have the following documents before starting this process:

Step 1: Fill in the Case Information

  • From either the Homepage or Cases page, click + Add Case.

  • Select the Case Type New Case.

  • Indicate if you have the insurance documents to upload or not.

  • Enter the desired Case ID, or click Generate for the system to generate an ID for you.

  • Fill in the desired Case Name.

  • Select the Account from the dropdown.

  • Click Continue.

Step 2: Select the Relevant Risk Profile

  • Search or scroll through the available Risk Profiles for your organization and select the appropriate one for the Case.

  • Click Continue.

Step 3: Set Up the Asset

  • Click + New Asset.

  • Select the Asset Type from the dropdown.

  • Fill in the Asset Address using the search bar option.

Tip: Fill in as many of the Asset fields as possible, even though they are not mandatory at this stage.

  • Click Add Asset.

  • If additional Assets are needed, click + Add Asset and repeat the previous steps.

  • Once all Assets are added, click Continue.

Step 4: Provide Case Details

  • Select the applicable Certificate Holders.

  • Fill in the Deal Closing Date.

  • Select the Risk Review Deadline.

  • Select the Insured.

  • Indicate if the Premiums are Escrowed or not.

  • Click Continue.

Step 5: Add Insurance Contacts

  • Either search for an existing Insurance Contact in the system, or add a new insurance contact.

  • Click Complete.

Step 6: Complete or Cancel All the Tasks on the Case

  • Select each task on the Case Overview tab and either mark it complete or cancel it.

Step 7: Create Policies for Monitoring

  • From the Policies tab, click + New Policy.

  • Upload the relevant documents by clicking Upload on the right side of the screen.

  • Drag and drop or choose files from your computer.

  • Select the document type of each uploaded document.

  • Click Upload Documents.

  • Use the relevant documents to fill in the policy information.

Note: The mandatory fields are noted with red asterisks. These fields must be filled in to create a Policy.

  • Once all fields are filled in or selected, click Create Policy.

  • Repeat these Policy creation steps until all needed policies are in the system.

  • Once all Policies are created, change the policy status to Approved:

    • Check the box to the left of each policy.

    • Select Approve Policy from the pop-up menu at the bottom of the screen.

  • Click Approve at the top of the Case.

  • If the Approval Flow box pops up, fill in the Approval Exception and click Approve Case.

  • Now navigate to the Overview tab and click Convert to renewal.

  • Click Confirm.
