This article explains the Documents tab in detail and outlines which features and information can be found there.
When to Use the Documents Tab
When you need to see every document uploaded to the Case in one place and check which Policy or Asset each one is tied to, view them here.
When a new document comes in (i.e. an ACORD, loss run, or inspection report) from the broker or insured upload it to the Documents tab to add it to the Case.
When an existing document needs to be managed, the following options are available on the Documents tab: merge it with an older version, rename it, update its document type, reassign it, or delete it.
What's on the Documents Tab
Unassociated – shows any uploaded documents that are not yet associated with a Policy or Asset.
Policies – shows all Policies on the Case and any documents associated with each Policy.
Assets – shows the Assets on the Case and any documents associated with them.
Document Viewer – the right side of the page. Clicking a document from any section opens it here so it can be viewed without leaving the Documents tab.
Uploading Documents
Click the "Upload" button to open the document uploader and upload documents to the Case.
Drag and drop documents into the uploader, or choose them from your computer.
Use the document type dropdown to choose the document type, then click "Upload documents".
Newly uploaded documents always appear in the Unassociated section.
Note: When new documents are uploaded, they will always appear in the Unassociated section.
Managing a Document
Select the three dots icon next to a document to see the available actions: "Download", "Rename", "Associate with...", "Edit document type", "Document details", "Merge into document", and "Delete document". Clicking "Download" automatically downloads the document to your computer.
Renaming a Document
After clicking "Rename" from the dropdown menu, the Rename Document window opens. Type the new document name and click "Save" to rename the document.
Associating Documents with Policies
After clicking "Associate with..." from the dropdown menu, choose which Policy or Policies to associate the document with, then click "Save".
After clicking "Save", the associated document appears under the Policy on the page.
Editing the Document Type
After clicking the three dots menu next to the document name, select "Edit document type", then select the correct document type from the second dropdown menu that appears.
Viewing Document Details
After clicking the three dots menu next to the document name, select "Document details".
The document details box shows who uploaded the document and the date it was uploaded. Click the "x" to close the box.
Merging Documents
Click "Merge into document" from the dropdown menu.
The document merging tool opens. The left panel shows the document that will be merged on top of the existing document. Select the document to merge into from the middle panel; it appears in the right panel. Then click "Merge documents".
Viewing Version History
Once a document has been merged, a merged document icon appears. Selecting the three dots menu for that document shows a new option, Version history.
Click "Version history" to see all versions of the merged document. Click between versions to see what changed from one version to the next.
Selecting the three dots next to a version opens a menu with options to download that version, make it the active version, see its version details, unmerge it, or delete it.
Documents Associated with Assets
If any documents are associated with Assets, the Assets section at the bottom of the page shows them. The same document dropdown menu is available for these documents as for documents associated with Policies or left unassociated.
Note: Documents can be deleted from any of the document dropdown menus. Always be careful deleting documents and versions of documents.
What Happens Next?
If you came here to check on documents, you now know what's uploaded and what it's tied to. If something's missing, upload it from this tab; if a document needs updated Policy data pulled from it, use the AI Document Extraction Tool.
If you uploaded a new document, the next step is usually extracting its data into the Compliance Checklist. Refer to the How to Use the AI Document Extraction Tool guide.
If you merged, renamed, recategorized, or associated a document, double-check that the Compliance Checklist and Policy Revisions reflect the change, then continue working the Policy or Case.
